1. Introduction
Regen Retreats, a Community Interest Company, is the organizer ("Organiser") of a 5-day retreat on Andros Island, Greece, scheduled for October 23–27, 2024. The logistical support for this event is provided by our local partner, Proteus Social Innovation and Development ("Proteus"). These terms and conditions govern your participation in the retreat and form your contract with Regen Retreats ("Regen Retreats CIC").

2. Registration and Payment

The total cost of the event is €4,600

Registration Fee: A non-refundable registration fee of €750 is due upon notification of the successful application of the participant.

Remaining balance: The remaining cost of the event is €3,850.
Payment Schedule:
- 50% of the event cost (€1925) due 6 weeks prior to the retreat.
- Remaining balance (€1925) due 2 weeks prior to the retreat.

Failure to Pay: Failure to make payments by the due dates may result in forfeiture of the participant's place in the retreat, with no refund of the registration fee or costs paid up to the point whereby Regen Retreats declares non-payment .

3. Insurance Requirements
Travel and Medical Insurance: All participants are required to have valid travel and medical insurance covering personal accidents, injury, and loss or damage to personal property. Proof of insurance must be provided upon final invoicing.

4. Liability and Responsibilities
Participant's Responsibility: Participants are responsible for any personal accidents, injuries, loss, or damage to personal property during the retreat. Neither Regen Retreats CIC, Proteus Social Innovation and Development or any Retreat Partners accept responsibility for these incidents.

Damage and Loss: Participants are liable for any damage or loss they cause during the retreat to property, vehicles or goods whilst in the formal itinerary of the retreat. Immediate payment for damages or losses is required.

5. Itinerary and Changes
Included Costs: Accommodation, food and refreshments, excursions, activities, and transport to and from Andros Island are included in the event cost.

Excluded Costs: Flights to and from Athens, personal travel and medical insurance, additional food and drinks, and personal spending are not included in the event cost.

Itinerary Changes: Regen Retreats CIC reserves the right to make changes to the itinerary. Significant changes will be communicated at least 8 weeks in advance, unless the retreat is impacted by a Force Majeur. Participants will be notified if the retreat dates or location change.

6. Minimum Participation and Cancellation by Regen Retreats CIC
Minimum Participation: The retreat requires a minimum of 10 participants to proceed. If this number is not reached 8 weeks before the start date, Regen Retreats CIC reserves the right to cancel the event.

Refunds: In case of cancellation by Regen Retreats CIC due to insufficient participants, a full refund of payments made minus 5% of the registration fee for administration costs will be issued.

Termination by Regen Retreats CIC: Regen Retreats CIC may cancel the retreat due to unavoidable and extraordinary circumstances. In this event, participants will be offered an alternative date or a full refund of payments made within 14 days, with no further liability for compensation.

7. Cancellations and Amendments by Participants
Cancellation Policy: If registered and accepted participants are no longer able to attend the retreat, they should inform Regen Retreats by email immediately. The below schedule applies to the cancellation schedule and refund policy. :
- 28–15 days prior to the start date: 75% of the final trip cost is payable.
- 14–0 days prior to the start date: 100% of the final trip cost is payable.

Amendments and Transfers in case of cancellation by a participant who can no longer attend:

- Participants may transfer their booking to another person who meets all conditions for the trip. This must be requested in writing at least 7 days before departure, with a €75 amendment fee plus any additional costs incurred by Regen Retreats (changes of name etc).
- Regen Retreats CIC will attempt to accommodate other amendment requests but cannot guarantee success.

8. Medical and Fitness Requirements
Medical Disclosure: Participants must complete a medical questionnaire and provide details of any medical conditions by 8 weeks prior to the retreat. Participants over 65 or with certain medical conditions must provide additional information as requested.

Right to Refuse Participation: Regen Retreats CIC reserves the right to refuse participation based on medical grounds or behavior that may affect the safety and well-being of the group.

9. Conduct and Behavior
Facilitator Authority: Participants must adhere to the guidance and authority of Regen Retreats CIC facilitators throughout the retreat.

Removal from Retreat: Participants may be removed from the retreat without refund if their behavior is deemed detrimental to the group. The decision will be made by the discretion of the Regen Retreats Director and this decision is final.

10. Privacy and Data Protection
Data Protection: Regen Retreats CIC is committed to protecting your personal data in accordance with GDPR and the Data Protection Act 2018. Personal data will be used only for purposes outlined in Regen Retreats CIC’s privacy policy, which can be found on Regen Retreats CIC’s website.

Marketing Material: Participants consent to the use of photographs or images taken during the retreat for Regen Retreats CIC’s promotional activities unless they opt out.

11. Complaints and Disputes
Complaints: Any complaints must be raised with Regen Retreats CIC as soon as possible. If unresolved, complaints can be taken to the relevant governing body.
